From claim export to findings letter

A clear sequence so finance leads know what happens in each week of a compliance audit—and what we need from you before sampling starts.

  1. Lock the policy and period

    We confirm which PDF staff follow today, collect local addenda, and agree the months under review. Work does not begin on a moving target.

  2. Design the sample

    Together we set sample size across travel, meals, entertainment, and miscellaneous claims. High-risk categories can be weighted without pretending we read every receipt.

  3. Examine claims and approvals

    Reviewers read attachments, approval trails, and exception notes. Open questions go to your nominated contact within an agreed response window.

  4. Classify exceptions

    Each exception cites a policy clause and a severity label: documentation gap, amount breach, or policy conflict. Names stay secondary to patterns.

  5. Deliver and debrief

    You receive a findings letter and exception schedule, then a debrief with finance. Remediation priorities are ordered by risk to the next external review.
